Let’s talk

More than ten practitioners, several sites, or a procurement process to get through? The pricing rule doesn’t change. It’s the onboarding, the data migration and the contracting that need a conversation.

Same system either way. The only difference is how many people have a diary.

What you get

All of it, on day one, whether you’re one person or eight.

Your diary

  • Online booking, straight from your own website
  • Appointment reminders by email, unlimited
  • A separate calendar for each practitioner
  • A direct booking link for each practitioner
  • A course of treatment booked once, repeating weekly or fortnightly
  • Change one appointment, the rest of the course, or all of it

Cancellations and no-shows

  • Your cancellation and rescheduling notice, in hours
  • A late-cancellation fee and a separate did-not-attend fee
  • Charged as a percentage, so it stays right when your prices change
  • Applied by the system, to everyone, every time

Your clients

  • Client records and full history, no limit on how many
  • Forms and consent sent out and signed digitally
  • A portal where they see their appointments, reschedule or cancel them, fill in forms and view invoices
  • Duplicate checks when a new client is added, so the record stays clean

Getting paid

  • Invoices raised and sent from the appointment
  • The fee shown up front at booking, and settled with you at the clinic
  • Overdue invoices chased automatically, not when somebody remembers
  • A correction issues a new numbered invoice; the original is never rewritten
  • Insurer authorisations and session counts tracked against the claim
  • No per-client fee and no commission, ever

Your team

  • Each practitioner with their own professional role, hours and services
  • Registration numbers held against the practitioner, not in a spreadsheet
  • Five staff roles, so reception sees what reception needs and no more
  • One clinic, one bill, one patient record, however many disciplines

Moving over

  • We bring your clients, their history and their notes across
  • We set your services, times and forms up with you
  • Included. Not an onboarding fee.

And if you’re a clinical practice

  • Treatment notes in SOAP format, locked after 24 hours with amendments tracked
  • Form templates written for your discipline, not a generic pack
  • Conditional logic in your forms, and every published version kept
  • Practitioner registration numbers and professional roles held against the record
  • Two-factor sign-in enforced for practitioners, at the database rather than the login screen
  • Clinical records cannot be deleted, and every change lands in an append-only audit trail
  • Data held in the UK, and a signed data processing agreement

Switched on when you need it, and completely out of the way when you don’t.

What you’ll never be charged extra for

The things other systems bill separately.

  • Online booking

Some charge nearly £5 a month for this alone.

  • Setting you up

    Including moving your data across.

  • Reception and admin logins

    As many as you need.

  • How many clients you keep

    No caps, no overage.

  • Leaving

No exit fee, and you take your data with you.

  • Bookings you win yourself

    No commission on anything, ever.

Questions people ask before they enquire

I work on my own. Is this overkill?

Be honest with yourself about what you need. If you want a diary and a reminder text and nothing else, there are cheaper tools that do only that, and we’d rather say so. Siderina earns its keep when you’re keeping records you might have to produce later: treatment notes, signed consent, a history an insurer or a regulator could ask for. If that’s you, it’s £25 a month whether you’re one person today or three by spring.

Do I have to use the clinical side?

No. If you’re a sports massage therapist or a personal trainer, you can run bookings, clients, reminders and invoices and never open a consent form. The clinical tools sit behind a switch. Turning them on later doesn’t change what you pay.

Do you send text reminders?

Email reminders are included and unlimited, and they’re on from day one. Texts aren’t switched on by default — it’s a short piece of work at our end, so if your clinic needs them, ask and we’ll set them up. We charge what they cost us rather than marking them up.

Can patients cancel and rebook themselves?

Yes, in their portal, and your policy travels with them: they only see slots that can genuinely happen, and your notice period and any late-cancellation or did-not-attend fee are applied automatically. That’s the point of setting the policy once — the answer doesn’t depend on who picks up the phone.

We book people in for a course of treatment. Does that work?

Yes. Book the course once and it repeats — weekly, fortnightly, or whatever the plan is. When something moves, you choose whether you’re changing that one appointment, that one and the rest, or the whole course.

What happens when someone joins or leaves?

Your bill goes up or down by £10 the month it happens. There’s no minimum term on a practitioner and no charge for adding one mid-month. If somebody leaves, you stop paying for them straight away, and their records stay exactly where they are.

We’re a mix of disciplines. Do we pay for each one?

No. A physiotherapist, a podiatrist and a massage therapist under one roof is one clinic, one bill, one record per patient. You pay per practitioner, never per discipline.

Is there a contract?

Monthly, cancel whenever. Pay for a year up front and you get two months free, but that’s your choice, not a lock-in.

What about VAT?

Prices are shown without VAT, with the VAT-inclusive figure underneath. Worth knowing: most clinical services are VAT-exempt, so you probably can’t reclaim it. We’d rather you saw the real number now than found it on the first invoice.

I’m already using something else.

Most people are. We’ll export from your current system and bring your clients, their history and their notes across, and we do it alongside you rather than handing you a spreadsheet. Most practices are running properly inside a week, and you don’t cancel the old one until you’re happy.

Try it for thirty days

The clock starts when your data’s in and you’re actually using it, not the day you sign up. No card needed to begin, and we’ll set it up with you either way.
